Executive Director Position 

Status: Part-time 

Reports to: Board of Directors 

 

ORGANIZATION OVERVIEW 

Village Friends is a non-profit 501(c)(3) organization that serves the Auburn-Opelika community. Founded in 2014, we provide a network of services and support to help seniors age independently in their homes. Subscribers pay a nominal annual fee for services that are fulfilled by volunteers.  

SUMMARY 

The Executive Director is responsible for overseeing the administration and strategic plan of the organization. This position is responsible for enhancing overall organization awareness through recruitment, communication, marketing, and stakeholder engagement. This role will focus on building organizational infrastructure, member and volunteer recruitment, and increased funding sources. Goals will include cultivating new partnerships and volunteers, improving awareness and outreach, and growing sustainability with grants. Above all, the Executive Director must have compassion for the elderly and a willingness to serve this population. 

RESPONSIBILITIES 

Organizational Leadership and Operation 

Demonstrates a clear understanding of the Village Friends vision and mission to confidently manage the day-to-day activities of the organization in coordination with the Board of Directors. Demonstrates strong listening skills with the ability to create an inclusive environment by actively soliciting and valuing others’ opinions. Demonstrates the ability to translate strategy into implementation plans.  

Demonstrates the ability to keep well-organized files related to agency operations, e.g. documentation, policies, procedures, systems, to facilitate the transfer of knowledge (knowledge management). Prepares monthly and annual statistical reports to the Board.   

 

Strategic Planning 

Work with the Board and Services Coordinator to further develop organizational goals and objectives for the short- and long-terms and develop implementation plans, including resources needed to reach those goals and metrics to assess progress toward those goals.     

 

Fiscal Management 

Demonstrates an understanding of how to develop and interpret budgets. Demonstrates resourcefulness and fiscal responsibility in deploying organizational funds. Assists in preparing the annual budget for Board approval. Works with the Board Treasurer to ensure all accounting ledgers remain current and spending is within the organization’s budget. 

 

Development 

Work with Board members to identify, create and pursue funding opportunities with individuals, foundations, and community partners. Develop and execute ongoing funding campaigns aimed toward developing sustaining relationships with individual, organizational, and corporate donors. Identify and pursue grant funding and assist in grant writing. Create and implement a development strategic plan to increase funding sources. Cultivate relationships with stakeholders, businesses, foundations and other organizations to establish residual giving and additional revenue opportunities. Manage donor relations and prospects to activate new charitable giving. Ensure an accurate audit trail is maintained for all stakeholder engagement and all contact/activities are recorded in a database.  

 

Public Relations 

Works with the Board’s Media and Public Relations Chair to develop communication strategies that promote positive brand messaging. Ensures consistent messaging for the organization and coordinate communication efforts with the Board, volunteers, subscribers, and traditional and social media. Produce and publish effective, persuasive media releases for district-wide dissemination and broadcast. Writes copy for printed marketing materials, i.e. brochures, advertisements, flyers, social media and press kits. Coordinate special events and awareness campaigns to gain public involvement across multiple media platforms. Identify outlets for communication with community groups in our target audiences.    

 

Outreach and Community Involvement 

Work with the Services Coordinator and Board to identify opportunities and to create a presence at community events and organization meetings. Arrange and perform speaking engagements to help establish Village Friends as a resource for seniors and their families and to recruit volunteers within the community. Attends organizational activities and works with the Events and Programming Chair to arrange organizational events.  

 

Volunteer Recruitment & Retention 

Manages the recruitment process, orientation, and training of volunteers to effectively serve the program objectives in conjunction with the Board’s Chair of Recruitment and Onboarding. Manages the policies and procedures for appropriate background assessments as well as annual volunteer recognition and appreciation. Works to identify platforms for volunteer recruitment. 

 

Subscriber Services and Intake 

Demonstrates an understanding of the services provided by the agency and how that impacts potential clients. Assists the Services Coordinator and Subscriber Services’ Chair to conduct intake meetings. Schedules and covers services for subscribers in the absence of the Services Coordinator. 

 

QUALIFICATIONS 

  • Passionate about the mission of Village Friends and a heart for seniors 

  • Preferred professional experience working with volunteers, donors and/or community outreach activities 

  • Proven management and organizational skills  

  • Effective communication skills and a professional attitude; ability to present to large groups 

  • Ability to connect with people from a variety of backgrounds 

  • Ability to work independently, prioritize work and manage multiple priorities   

  • Ability to develop and maintain effective working relationships with public and private entities to maximize the organization's strategic goals 

 

COMPENSATION 

1099 Contract Position / 20-30 hours per week with a cap of 35 hours/ $2000-$3000 per month / Compensation will be tailored to the successful candidate’s level of experience.  

 

DIRECTOR’S REPORTING RELATIONSHIP AND AUTHORITY 

The Executive Director position will be directed by the Village Friend’s Board of Directors. The Executive Director will be an ex officio (non-voting) member of the Board of Directors. The Executive Director shall be given the necessary authority and responsibility to direct and carry out the day-to-day operations of Village Friends and shall act as the duly authorized agent of the Board of Directors in all matters approved by the Board.
